The Problem Statement

Companies with HR departments or software face significant time and resource challenges in managing essential HR workstreams (employee training, payroll exports, shift scheduling, etc.). These processes are often inefficient and time-consuming, leading to potential inaccuracies, resource misallocation, and financial losses.

Impact:

  • HR Departments/Staff: Overburdened with time-consuming tasks, increased potential for errors, and reduced efficiency.

  • Company Finances: Losses due to resource misallocation and potential errors in payroll or scheduling.

  • Overall Productivity: Reduced productivity due to inefficient HR processes, impacting other areas of the business.

This leads to:

  • Increased operational costs.

  • Reduced employee satisfaction due to potential errors and inefficiencies.

  • Missed opportunities for strategic HR initiatives.

Overview

I created a user flow for the tool and built a user experience and interface.

Discovery

Challenge

The goal is to create a unique calculator for HR departments, allowing them to visualize the potential time and cost savings of using Sage HR. This tool is novel, as no similar web-based calculators exist, and it represents a new type of project for Sage. Because of its uniqueness, the calculator's design, particularly its user flow and interactive elements, must be centered on the user's needs and experience. Furthermore, the underlying calculation logic developed for this tool should be designed to be adaptable and reusable for future calculator projects within Sage.

User Research

Sage previously relied on a PDF document to illustrate potential time and cost savings to prospective clients. To gain insight into the effectiveness of this approach, user interviews were conducted. Participants were asked to use the PDF to calculate their potential savings, providing valuable feedback. The session yielded detailed notes, which will be used to refine the PDF and improve the overall user experience.

The User Comments

- Questions doesn't makes sense

- Too many input fields are in the PDF

- It looks super busy

- Most of the users didn’t even notice categories

- Some users skip the mandatory HR salary field

Affinity Dieagram

I did grouping with the research findings we have.

Conclusion

We had more than five stakeholder meetings, and we conducted research. I evaluated the PDF document. We decided to put the calculator on its page after stakeholder meetings. After all insights and discussions, I had concrete ideas and was ready to build the calculator.

Ideation

User Flow

Based on the user insights gathered, a unique user flow was designed to guide the development of the calculator. This project presented a challenge, as it required transforming a potentially mundane calculation process into an engaging experience. Recognizing the critical role of user flow in such projects, particular attention was paid to creating a seamless and intuitive pathway. A well-crafted user flow ensures that even complex calculations appear effortless to the user, allowing them to navigate the tool smoothly.

Sketches

I drew key pages on the paper to build the structure in my mind.

Design

We decided to build a calculator on its page. The page will have a hero, how it works, a calculator, product cards, and FAQ sections. A smooth user flow makes the calculator easy to use.
